5 mistakes you might be making in WEBOOKER

Course management can be fun … or quickly end in chaos. Editing spreadsheets, searching for cancellations, manually deleting lessons or confusion with compensations.

WEBOOKER can automate most of this work — but only if a few basic settings are configured correctly from the start.

Here are the areas where users most commonly make mistakes — and tips on how to avoid them when setting up your first courses.

When a course copy isn't quite a copy: Watch the semester setting

Copying courses saves time — but it's also the feature that most often leads to unnecessary complications.

Where do most errors occur?

Most frequently, a course is accidentally copied into the same semester. Since the semester of the new copy can't be changed afterwards, the entire course has to be recreated.

Other typical mistakes come from inattention rather than technical issues:

  • old descriptions, images or even prices remain in the course
  • lessons are scheduled according to an outdated holiday calendar

After copying, it's worth briefly checking the main tabs — dates, prices, teachers, descriptions and holidays. This ensures a clean and correct start to the new semester.

The holiday calendar as your safeguard against manually deleting lessons

Without correctly entered holidays and public holidays, the system schedules lessons on days when you're closed. This means manual deletion and rescheduling later.

If you set up the calendar before course planning, WEBOOKER automatically skips all closed days and schedules lessons realistically.

Enter all holidays and public holidays before creating schedules for the new semester — this prevents manual corrections afterwards.

Compensation groups: the foundation for clear excuses and compensations

Compensation groups determine which courses can share compensations with each other. Without this structure, parents choose random time slots or ask unnecessary questions — exactly what an automated system should prevent.

A common mistake is setting up compensation groups only after the semester has started. Once excuses are flowing, groups can no longer be changed without causing inconsistencies.

How to set up compensation groups correctly:

  • create groups before opening registration
  • define precisely between which course times compensations are possible
  • assign each course correctly during setup

Important note: The label "without compensation" doesn't mean compensation is excluded — it's simply a name without functional restriction.

The registration page design is your calling card — and provides orientation

A well-organised WEBOOKER in your organisation's style is more than design — it's your digital calling card. Missing logos, banners or information can make clients uncertain and trigger questions like: "Am I in the right place?"

Customise WEBOOKER to match your organisation:

  • logo, colours and welcome banner
  • course descriptions with images
  • contacts, terms of service and privacy information
  • a clear landing page for parents/clients

First impressions count — design the WEBOOKER landing page in the style of your centre.

Setting up client data too late means lots of extra work

Every organisation needs different information about students. Some only require name and date of birth; others need additional details for grants or administration.

The mistake occurs when required data fields aren't set up from the beginning. After months with hundreds of registrations, adding them retroactively is very time-consuming.

Therefore:

  • check System → Settings → Personal Data right at the start
  • define what parents see and what only administrators see
  • set required fields

A clean initial setup saves many hours of work later.
